Our service and processing availability during the holiday season

Season’s greetings! It’s been an exciting year for us and we hope it was for you too!

We’d like to take this opportunity to thank you for your business and support throughout 2017, and to wish you and your team all the very best for the upcoming holiday season. We look forward to another rewarding year of doing business with you in 2018.

For your convenience, we have included a summary of our company’s service and processing availability during the holiday season.

Office Closure

Our offices are closed for statutory holidays on December 25 and 26, as well as January 1.

Client Services

We will be closed on December 25  and 26, as well as January 1. Other than that, there are no exceptions to our standard service hours of 8:00 a.m. to 7:00 p.m. EST.

New Business Year-End Processing

Important deadlines for new business

To help you settle your pending life insurance business before year end, please note the following key dates and guidelines.

Key Process & Date

Written New Business – December 29

All New Business applications including, eApplications, conversions and replacements received in good order by 3:00 p.m. EST on December 29 will be processed and considered as written business in 2017.

Settling Requirements – December 29

If all delivery requirements are received in good order by 3:00 p.m. EST on December 29, we guarantee the case will be settled in 2017.

To expedite the types of cases listed below, please contact WFG Rocks by email or telephone:

  • Special Cases – Rush cases that require immediate attention to expedite them through the process.
  • Speedy settlement - If the Underwriter approves a policy and the only outstanding requirement is the initial premium, you may speed up the policy settlement by obtaining the payor’s written approval to withdraw the initial premium from his/her bank account.
  • Grouped files – You may request a grouped file be issued separately.

Faxed New Business Documents (1-877-767-0477)

Just a reminder that we will accept a faxed copy of the signed documents required to settle cases (such as Amendments, Supplemental Applications, void cheques, PAD authorizations, etc). Cheques must not be sent by fax.

Transaction Processing Deadlines for Inforce Life and Investment Products

Key Process & Date

December 22

To ensure that transactions receive the trade date of December 22:

• Paper transactions for Life and Investment Products must be received by 3:00 p.m. EST

• Wire transactions for Investment Products must be received by 4:00 p.m. EST

If trades are received in good order after these cut-off times, the transaction will be dated for the next business day, December 27.

The cut-off time for mail leaving Head Office will be 3:30 p.m. EST

December 29

To ensure that transactions receive the trade date of December 29:

• Paper transactions for Life and Investment Products must be received by 3:00 p.m. EST

• Wire transactions for Investment Products must be received by 4:00 p.m. EST

If trades are received in good order after these cut-off times, the transaction will receive the trade date of the next business day, January 2.

The cut-off time for mail leaving Head Office will be 3:30 p.m. EST

January 2

Business as usual.

Accessing Information on ivari.ca

The ivari.ca site will be available throughout the holiday season.

webCAPPOW and webCMS

Access to webCAPPOW and webCMS will be subject to system availability and may be impacted by year-end processing.

The exceptions to our standard service hours are:
webCMS unavailable from December 30 8:00 p.m. to January 2 8:00 a.m. EST

Compensation Payment Schedule

Please note our special pay period is November 25 to December 1 to generate electronic fund transfers (EFTs) with no minimum payment threshold amount . The cheque payment threshold will remain unchanged at $400.00, so we encourage you to submit EFT information for your advisors to Distribution Compensation & Contracting as soon as possible.

Pay Period Ending:

December 1

EFTs will be transmitted on December 4.
Cheques will leave our office on December 4.
Regular EFT threshold of $100 will be reinstated for the period end December 8.

December 22

Cut-off date: December 22.
EFTs will be transmitted December 27.
Cheques will leave our office on December 27.

December 31

Cut-off date: December 29.
Statement Date – December 23 to 31.
EFTs will be transmitted on January 2.*
Cheques will leave our office on January 2.*
Included in the year-end run will be the in-force bonus payments for qualified policies, as well as Segregated Fund quarterly trail payments.

* Dates are dependent upon length of time required for year-end processing. Any change in this schedule will be communicated to you.

Compensation payment schedule for offices that place wire trades

W (weekly commission) and S (service fee/ trailer) files for imaxxGIF™, GROWSafe™, GROWSafe2 , GROWSafe ,ivari GIF,  and Five for Life business:

  • W file for week ending December 15 will be picked up by FundSERV on December 18.
  • W file for week ending December 22 will be picked up by FundSERV on December 27.
  • W file for week ending December 29 will be picked up by FundSERV on January 2.
  • S file for quarter ending December 31 will be picked up by FundSERV on January 3.

Mail Services Department

There will be no changes to the standard service hours (7:30 a.m. to 5:00 p.m. EST) the week of December 18, and from December 27 to December 29.

Please be advised that there will be no courier service on December 23 through to December 26, and December 30, through to January 1. Therefore mail sent to or from ivari on December 22 and 29 will not be delivered until  Wednesday, December  27 and Tuesday, January 2 respectively.

Ordering Marketing and Administrative Support Materials

During the holiday season, you will be able to continue ordering your marketing and administrative support materials on line using the ivari Express system via ivari.ca. The holiday schedule is the following:

December 25 & 26– Closed
January 1 – Closed

Regular business hours of 8:00 a.m. to 5:00 p.m. EST for dates not listed.
